Privacy Policy

This policy explains what personal information Civil Productions LLC ("Civil.GG," "we," "us") collects, what we do with it, who we share it with, and the choices you have. It covers civil.gg, our checkout, the members area, our Discord server, and our texts and emails (together, the "Service" in this policy). Our Cookie Policy lists the cookies and similar tools we use, and Your Privacy Choices is where you opt out of ad sharing.

The short version

• We collect your account and purchase details (billing goes through our checkout provider), how you use the Service, and anything you send us.
• We use PostHog to measure how the site, checkout and members area are used, including session replay (a playback of clicks, scrolling and page changes, with what you type masked).
• We use Google and Meta ad tags so we can show our ads to people who've visited civil.gg. Some state laws call that "selling" or "sharing." We don't sell your information for money. You can opt out anytime, and we honor Global Privacy Control.
• Visitors in the EU, UK and Switzerland don't get ad tags or session replay.
• You can ask to see, correct or delete your data by emailing [email protected].

We decide how and why your personal information is used. Some privacy laws call that being the "controller" or "business."

Information we collect

Information you give us

• Account and contact details: name, email address and, if you give it to us, your mobile number.
• Purchases: what you bought, when, prices, coupons, billing name and address. You enter card or PayPal details directly with our payment providers; we never see or store your full card number.
• Member profile: the games and modes you play, skill level, goals, time zone, preferences, onboarding answers and progress.
• What you send us: support emails, survey answers (including why you cancel), film-review submissions (links to your gameplay and your Discord username), questions you ask our AI coach, what you type into search, and posts or messages in our Discord.
• Tournaments: your Discord username, gamertag and contact details. If you win a prize, we may need your PayPal email to pay you and, when the law requires it, a tax form (IRS Form W-9). We may confirm your identity or eligibility on a live call; we don't record the call or keep copies of your ID.

Information collected automatically

• Device and usage: IP address, browser and device type, pages you visit, where you came from (referring page and campaign tags such as utm_source), clicks, scrolling, and time on page.
• Session replay: see "Analytics and session replay" below.
• Approximate location: your country, region and city, estimated from your IP address. We use the country to decide which tools load (see "Visitors outside the U.S."). We don't collect precise location.
• Cookies and similar tools: small files and browser storage that remember your session, choices and visits. The Cookie Policy lists them.
• Email engagement: whether our emails were delivered, opened or clicked.

Information from others

• Foxy.io (our checkout and billing provider): your customer ID, orders, subscription status and payment results.
• Discord: your Discord ID, username and roles, and your activity in our server (messages, and attendance at voice or stage events).
• Payment providers: whether a payment went through, and fraud-prevention signals.

How we use your information

• To run your membership: create your account, log you in, give you access to what you bought, and process payments, renewals, cancellations and refunds.
• To provide features you ask for: film reviews, AI coach answers and search, tournaments, coaching and Discord access.
• To talk to you: receipts, renewal and account notices, support replies and, with your permission where required, marketing emails and texts.
• To understand and improve the Service: analytics, session replay and testing different versions of pages.
• To advertise: show our ads to people who visited civil.gg, and measure which ads lead to sign-ups (see "Advertising and your choices").
• To keep the Service safe: prevent fraud, abuse and account sharing, and fix errors.
• To follow the law, enforce our Terms, and handle disputes.

Analytics and session replay

We use PostHog to measure how people use the site, checkout and members area: which pages they visit, what they click and where they drop off. PostHog also makes session replays: reconstructions of clicks, mouse movement, scrolling and page changes. Replays mask anything you type into a form and any text we mark as private. We don't record replays for visitors in the EU, UK or Switzerland, on your receipt, or on pages whose web address contains your email address, and we strip login and billing links from the page addresses we send to PostHog.

Before you log in or buy, PostHog uses a random ID. After you log in or buy, we connect that activity to your customer ID so we can see how members use the Service. We don't add your name or email address to your PostHog profile. Session replays are kept for 30 days.

Advertising and your choices

On our website and checkout we use Google Ads (including YouTube), and, when we run Facebook or Instagram ads, the Meta pixel on our marketing pages. They receive the page you visited, a cookie ID, your IP address and browser details. Google's tag also sees the confirmation page you reach after buying, so we can tell our ads which visitors already joined (not what you bought or who you are). We use this to show our ads to people who've visited civil.gg, to avoid showing sign-up ads to people who already joined, and to measure our ads. Google and Meta also use this information under their own privacy policies. We don't give them your name, email or phone number.

Some state privacy laws treat this as "selling" or "sharing" personal information for targeted advertising. We don't sell personal information for money. You can opt out:

• on Your Privacy Choices (linked in our site footer), or
• by turning on Global Privacy Control in your browser (we treat it as an opt-out automatically), or
• by emailing [email protected] to opt out for data tied to your account.

When you opt out, our Google and Meta ad tags stop loading in that browser. Visitors in the EU, UK and Switzerland never get these ad tags. We don't use ad tags in the members area.

AI features

When you use our AI coach or search, we send your question and the conversation so far to Anthropic, which writes the answer. We also send your search text to OpenAI, which helps find the right content. Our Discord bot also sends two things to Anthropic: questions asked in our server (to answer common questions) and a daily digest of server messages, with usernames (to summarize the day). Neither provider uses data sent through its business API to train its models by default. Please don't put private details in these messages.

Text messages

If you give us your mobile number for a service you asked for (like a film review), we text you about that service. We send marketing texts only if you agree to them, by checking the box that says so or by adding your number where we ask for text consent (for example in our Discord). That consent is never a condition of buying. Message frequency varies (marketing: about 2–3 per week). Message and data rates may apply. Reply STOP to cancel or HELP for help.

We don't share your mobile number or text-message consent with third parties or affiliates for their marketing. Your text-messaging opt-in data and consent are shared only with the providers that send our texts (GoHighLevel and the messaging service it uses, Twilio).

Emails

We send receipts, account notices and, if you haven't opted out, emails about our content and offers. Every marketing email has an unsubscribe link, and unsubscribing doesn't affect your membership.

Who we share information with

Service providers that process information for us to run the Service. Some of them, like our payment providers, Discord and Calendly, also handle your information under their own privacy policies:

• Payments and billing: Foxy.io (checkout, subscriptions, login), Stripe (cards), PayPal (PayPal, Venmo and Pay Later payments).
• Website forms: Webflow (a few older sign-up forms, until we replace them).
• Hosting and infrastructure: Cloudflare (website, security, images), Supabase (our database and back end), Fly.io (runs our Discord bots), GitHub (our code).
• Video: Bunny (our lesson videos), YouTube, Vimeo, Streamable and Vidalytics (embedded videos), Loom (coach feedback videos).
• Analytics and errors: PostHog (analytics and session replay), Sentry (error reports).
• Messaging: Resend (email), Kit (our older email list), Google Workspace (support email), GoHighLevel and Twilio (texts).
• Operations: Make.com (moves data between our tools), Airtable (customer and support records).
• AI: Anthropic and OpenAI (see "AI features").
• Scheduling: Calendly (coaching bookings you make on Calendly).

Advertising partners: Google and Meta, as described above, unless you opt out.

Discord and other members: what you post in our Discord is visible to others in the server. Discord handles your Discord account under its own privacy policy.

Legal and business reasons: when the law requires it, to protect our rights or someone's safety, or as part of a merger, acquisition or sale of our business (the information would transfer subject to this policy).

How long we keep information

• Account and member profile: as long as your account exists. We delete it when you ask (except the records below).
• Billing and order records: 7 years, for tax and accounting.
• Session replays: 30 days.
• Analytics events: 2 years in our own database. PostHog keeps its copy under its standard retention schedule.
• Unfinished checkouts: we remove your email and checkout details 90 days after your last checkout activity. If you unsubscribed from our reminder emails, we keep your email address so we don't email you again.
• Survey answers, cancellation feedback and support messages: 3 years.
• Checkout error logs (including IP address): 90 days.
• Tournament tax forms (W-9): 4 years after the prize year. We don't record identity-check calls or keep copies of IDs.
• Unsubscribes and text STOP requests: kept so we don't contact you again.

Deleted information can stay in our backups until they're overwritten on their normal schedule.

Your rights

Wherever you live, you can ask us to:

• tell you what personal information we have about you and give you a copy;
• correct information that's wrong;
• delete your information (we keep what the law requires, like billing records);
• stop using your information for targeted advertising ("opt out of sale or sharing");
• stop sending you marketing emails or texts.

Email [email protected] with "Privacy request" in the subject, from the email address on your account. We may ask you to confirm it's you. We answer within 45 days; if we need longer (up to 45 more days), we'll tell you why. You can use an authorized agent; we'll ask for proof that you gave them permission. If we turn down your request, you can appeal by replying to our answer, and we'll respond within 45 days. We won't charge you more, give you worse service or treat you differently for using these rights (though deleting your data does end your account access).

Visitors outside the U.S.

Civil.GG is based in the United States, and our providers mainly store and process information in the U.S. We don't target our Service to people outside the U.S. If you visit from the EU, UK or Switzerland, the site and checkout load no ad tags, record no session replays and keep no analytics cookies in your browser. Embedded videos (like YouTube) may still set their own cookies when they load.

If data protection law in your country applies to us, we rely on these legal bases: performing our contract with you (your membership), our legitimate interests (running, securing and improving the Service), your consent (marketing, which you can withdraw anytime), and legal obligations. You have the rights above, and you can also complain to your local data protection authority.

Children

The Service is only for people 18 and older. We don't knowingly collect information from anyone under 18. If you think someone under 18 has given us information, email [email protected] and we'll close the account and delete their information (except records the law requires us to keep).

Security

We protect personal information with access controls, encryption in transit and careful choice of providers. No system is perfectly secure, so we can't promise absolute security. If you think your account has been compromised, email [email protected] right away.

Links to other sites

The Service links to sites and apps we don't control, like Discord, YouTube and Calendly. Their own privacy policies apply there.

Changes to this policy

When we change this policy, we update the date at the top. If a change is significant, we'll tell you by email or in the members area before it takes effect. We won't use information we already have in a significantly different way without telling you first and, where the law requires, asking you.
